We have a fantastic opportunity for a Service Coordinator (Maternity Cover) based in our Fort William office.
Working within the Service and Heat Supply (Scotland) team, the Service Coordinator is responsible for supporting the operations of the team by undertaking a range of tasks including assisting with invoicing and assisting the Service Desk Manager with the team’s works planning and scheduling.

The role will involve
- Assisting with the Service and Heat Supply team’s invoicing to be issued weekly and monthly as required, including uploading to customer portals and producing invoicing reporting templates
- Ensuring all heat supply is invoiced on a monthly basis with clients receiving all appropriate records
- Assisting the Service Desk Manager with producing and issuing the weekly works plan
- Assisting with internal service software portal templates and processes, including uploading new contracts and updating existing contracts in the portal
- Supporting the Service Desk Manager and team to create service tickets and allocate to Engineers
- Assisting with reviewing incoming service reports
- Generating purchase orders and goods received notes
- Assisting with engineer van stock levels and tooling requirements
- Booking accommodation, ferries, parking, and other travel for the team
- Liaising with suppliers and generating customer quotations for products and/or services
- Liaising with sub-contractors, filing job reports, and ensuring works and subcontractor plans are in place
- Completing subcontractor applications and renewals
What we are looking for
- SQA Highers/English A Levels or equivalent school qualifications
- Initiative to work independently, and work as part of a team
- Ability to prioritise workload and competing demands
- Excellent interpersonal and communication skills to build good working relationships internally and externally
- Excellent organisational and administration skills
- Ability to identify and solve problems
- Excellent Microsoft Office skills
- Good geographical knowledge, covering Scotland locations
- Experience with database systems and apps
- Experience of delivering administration support in a fast moving and demanding operational environment
- Experience within logistics/planning/scheduling
- Demonstratable experience of solution driven approach
- Excellent communicator and commitment to customer service and satisfaction
- Proactive and solution driven
- Detail-oriented/Attention to detail

- Competitive salary to be discussed at interview
- Hours of work: 40 hours per week; Monday-Friday, 08:00-17:00 (1 hour lunch)
- Contract Type: 1 Year fixed Term (Maternity Cover)
- Office based, 5 days per week
